Privacy Policy

Information we collect

When you sign up or use MeetFast, we collect:

  • Account information (email, first and last name, password hash if you use email sign-up)
  • Data you provide when creating polls or booking types (titles, descriptions, availability, timezone)
  • Responses from poll respondents (selected times, and any names or emails they enter)
  • Booking details when someone books time with you (name, email, chosen slot, and any optional phone number, notes, or additional participants provided)
  • Booking activity metadata, including booking status changes such as confirmations, reminders, follow-ups, cancellations, and reschedules
  • Email notification records used for service operations (such as recipient, context, delivery status, and related message events)
  • SMS notification data (optional): if you enable SMS alerts, we store your notification phone number, your SMS consent timestamp, monthly SMS usage counts, and SMS send logs (such as recipient number, sender number, message preview, provider message ID, and send error details).
  • If you connect Google or Microsoft: we store refresh tokens and selected calendar IDs to show your busy times and to create or update calendar events for bookings
  • Payment and billing: Subscriptions are processed by Stripe. We do not store your full card number; Stripe collects and processes payment details on our behalf. We store your subscription status (e.g. that you have an active plan) and may receive limited billing information (e.g. email, last four digits) from Stripe. Stripe’s privacy policy applies to payment data: stripe.com/privacy.

Google user data

If you sign in with Google or connect your Google Calendar:

  • Profile and email: We use your name and email from Google to identify your account and display your profile in the app.
  • Calendar (read-only): We use calendar read access to show your existing events so we can offer available time slots when someone books a meeting with you.
  • Calendar (create events): We create a calendar event on your chosen Google Calendar when a meeting is booked, so the booking appears on your schedule.

We do not use Google user data for advertising, and we do not sell it. Our use of Google data is limited to providing the scheduling and booking features described above, in line with Google’s API Services User Data Policy and Limited Use requirements.

Microsoft user data

If you sign in with Microsoft or connect your Microsoft Calendar:

  • Profile and email: We use your Microsoft account ID, display name, and email (mail or user principal name) to identify your account and support sign-in/account linking.
  • Calendar access: We use Microsoft calendar permissions to read availability and to create, update, or delete booking-related events on the calendar you select.
  • Tokens and calendar selections: We store refresh tokens and selected Microsoft calendar IDs so your booking workflows can continue between sessions.

We do not use Microsoft user data for advertising, and we do not sell it. Microsoft data is used only to provide scheduling, booking, and calendar-sync functionality.

Authentication, sessions, and technical logs

We process technical/account-security data such as sign-in method, session state, token expiry metadata, IP address, approximate location (where available), user agent, request path/method, and activity timestamps. We use this data for security, fraud/abuse prevention, troubleshooting, and account administration.

Email engagement tracking

Service emails may include tracking links/pixels so we can record delivery-related engagement events such as opens and clicks. These records may include event timestamps, token/message identifiers, target URL, IP address, and user agent.

How we use it

We use this information to run the service: to display polls and booking pages, to compute availability, to send communications (including booking confirmations, reminders, follow-ups, cancellations, and reschedule updates), to send optional SMS booking notifications when enabled, and to sync with Google/Microsoft calendars when connected.

We also use operational logs and message metadata to troubleshoot delivery issues, monitor abuse, and improve reliability.

Sharing

We do not sell your data. We may share data only as needed to operate the service (e.g. hosting, email delivery providers, SMS delivery via Twilio, payment processing via Stripe, and connected calendar providers) or when required by law.

Cookies and similar technologies

We use cookies/session storage that are necessary to keep you signed in, maintain security, and operate core product features (including OAuth sign-in/connection flows and booking/session state).

Security and retention

We use industry-standard practices to protect your data. We retain account and content data while your account is active, and retain certain operational records (such as delivery logs and security/abuse logs) as needed for legitimate business, legal, and security purposes. You may request deletion of your account and associated data, subject to required retention obligations.
